Sample mail notification 119 for printing. Form for notification of delivery of registered mail. How to fill out a form by mail

10/08/2018, Sashka Bukashka

Remember how the postman Pechkin from the cartoon village of Prostokvashino offered Sharik and Matroskin to deliver a telegram, a poker and an iron? In that cartoon, everything was simple: Pechkin took it, handed it over, and no papers for you! We have to figure out how to fill out a notice from the Russian Post (sample), and most importantly, what to do if it was not delivered.

Everyone who receives registered letters or parcels encounters postal notifications. It doesn’t matter who the sender was: relatives, bailiffs or an online store, you can pick up your parcel, valuable cargo or letter only by presenting your passport and notification of receipt of the shipment.

What does a postal notice (form) look like?

Officials approved a special notification form for Russian Post. Blank f. 22 looks like this:

Its reverse side:

The front side is prepared at the department where the letter was delivered. The document can be completed by hand, but most often it is done on a computer. As a rule, it has two “torn” edges. This is due to the fact that not one, but four notifications are printed on one sheet of paper. Then the sheet is torn and given to the postmen so that they can deliver them to their recipients.

All fields on the front side of the form are completely filled out. The date of compilation is indicated in the upper right corner (sometimes it is supplemented with a stamp), the main part shows the addressee, his address, and a brief description of the item (name, sender, weight, declared value).

The first line is the notification number. Russian Post sets it based on its data; this is a figure for the organization’s personal use. The track, if it was assigned at the time of departure, is located a little higher: in the form of a barcode and an alphanumeric combination.

Pay attention to the remaining lines. They often make mistakes. Last names, first names, street names - there may be errors in all this data, especially if the shipment was issued abroad. Either the post office employees themselves made a mistake, or the senders entered this information incorrectly. In most cases this does not play a special role. The post office understands that controversial issues may arise during transcription, so if there is a track and the citizen comes to pick up the parcel, the notice has reached the right address.

The last thing you need to pay attention to on the front side is where the letter is stored and where it can be stored. This information is contained in a specially designated field indicating opening hours and delivery address.

Russian Post notice: how to fill out

A letter or parcel can be obtained upon presentation of a passport and notification. The reverse side of this document is intended for the recipient to enter his passport details and place of registration (registration). Additionally, you must enter the date of receipt and signature. Details on how to fill out a notice from the Russian Post to receive a parcel are visible in the picture.

Please note that by signing the notice, the citizen simultaneously consents to the processing of his personal data.

The very bottom lines are for postal employees. Sometimes, to save time, they fill out these lines at the end of the shift, and not in front of the client. But this is no longer our concern, the package is already in our hands!

What to do if you haven't received a notification

Many have encountered the problem that the package is already there (the track tracking service shows this), but there is no notification. It takes too long to understand the reasons; it is much more important that you can get it without a document from the mail. When you come to the post office, you will be given the same form, which you will need to fill out in the same way.

Another option is to figure out on your own how to fill out a postal notification for a parcel without waiting for a form from the postman. To do this, you need to go to a separate page of the Russian Post, fill out Form 22 and download the document. You can also format the downloaded pdf file and then print it. Or you can print it first and then enter the data. Regardless of how you provide the data, remember that you must sign the form yourself.

When downloading, under the form you will find a note that if you don’t want to accept it, you need to complain to a specific phone number. Do not lose this information until you receive your package. Sometimes just mentioning the possibility of complaining is a guarantee of good service. After all, modern postmen do not always manage to be as cultured as their cartoon colleague Pechkin.

It is possible to prove the fact of receipt of the letter by the addressee using a document such as a postal notification of delivery of the letter.

Very often, the responsibility to provide adequate notice to the counterparty (the other party to the transaction) rests with the sender. In this case, information about what a postal notification of delivery of a letter is and how to send documents correctly is useful.

What is a return receipt and what types of letters can be sent with it?

A delivery receipt is a special document that informs the sender that his postal item has been delivered and delivered personally to the addressee or his legal representative. The date of delivery is indicated on the document, the last and first name of the recipient is indicated, and the proof of delivery is the signature of the recipient.

The notice of delivery is a Form 119 form (f. 119). The form is attached to the forwarded letter and delivered along with it. After the letter is issued to the addressee, the document is also returned by mail and handed over to the sender.

Notification can be of two types: simple And custom. The first is delivered by the postman and dropped into the mailbox, the second is handed out personally either by the postman or at a Russian Post office. In the latter case, to inform the person about the arrival of a notice addressed to him, the postman brings a notice.

Only a registered or valuable letter can be sent with the notification.

These types of letters are registered, that is, data about them is entered into the system, and after they are issued, the person is given a check that contains a tracking number.

Valuable and registered written correspondence, according to the rules of the Russian Post, must be issued personally to the addressee (or his representative). They cannot be placed in the mailbox. This is actually their main difference from simple writing.

If we talk about the differences between registered and valuable mail, then there is only one difference - for valuable items the “declared value” is indicated. In case of damage or loss of such a shipment, the post office pays compensation. In addition, for valuable correspondence there is another additional service that the sender can use - inventory of attachments.

At the time of delivery, the postal employee fills out the back side of the form, which indicates when and by whom this postal item was received. The recipient puts his signature in the “Received” line. Next, the notification form is sent back to the sender of the letter. Both the first and second must present a passport upon receipt. In addition to an identification document, the legal representative will also have to show a power of attorney. If the letter is received by another person by proxy, then this point is also indicated in the notification form.

Notice of delivery can be simple or registered.

There's nothing here!

On the front side the sender must indicate the following:

  • type of notification (simple or custom);
  • type of postal item (letter, parcel, etc.);
  • your address, zip code and full name.

On the reverse side it states:

  • type of postal item;
  • address and index of the recipient (you should also write your full name at the end).

Attention: the sender of the mail item indicates the data on the front side. That is, if you send a registered letter with acknowledgment of delivery, then indicate your data, since you will be the recipient of this document. On the reverse side the information about who the shipment is intended for is indicated.

In this case, the reverse side of the form, as mentioned above, will be supplemented by the postal employee at the time of delivery of the letter and signed by the recipient.

How to fill out a notification of delivery of a registered letter

Notice of delivery f. 119 is a document that a postal worker must provide to the sender of valuable letters and parcels. The form is a confirmation that the addressee will receive the postal item. Sometimes it becomes necessary to send some valuable property or documents to the addressee and at the same time be sure that the parcel will reach the addressee safely. For example, a buyer sends a claim to a supplier regarding the quality of a product by mail and wants to be sure that the claim has reached the supplier. Or the employee wishes to notify his employer of dismissal by sending a notice by mail. Also, any other important documents are sent by valuable letters, for example, reports or other documents to various authorities: tax authorities, extra-budgetary funds, regulatory authorities.
